Choose an Avoma alternative around the work after the call: Fireflies for connected workflows, Sembly for deliverables, Read AI for meeting feedback, or Dictaria for personal live guidance across a mixed meeting week. Keep Avoma in consideration when CRM updates drive the purchase. Compare recorder-seat costs and coaching add-ons as well as access and retention controls.

Pricing: what would your meeting week cost?
Avoma prices recording seats separately from free viewers, and conversation intelligence is an additional purchase. A solo buyer who needs coaching should add the relevant module to the recording plan before comparing totals. Dictaria’s planned Pro subscription includes Coach; Fireflies, Read, and Sembly have different AI or meeting allowances. Compare the completed workflow rather than only the entry subscription.
Amounts are USD per user per month unless marked otherwise; Jamie is in EUR. Annual equivalents require an annual commitment, and unconfirmed billing terms are labeled.

Privacy: where the audio and text go
Avoma’s no-training position does not remove the access decisions created by CRM logging and shared call records. Check both the meeting library and the destination system, plus whether custom retention requires Enterprise. Dictaria’s personal meeting workspace can suit a different ownership model, but it does not inherit your CRM’s permissions or replace organizational governance.
Bot-free capture does not guarantee local processing. Likewise, a no-training promise does not mean meeting content is never stored. These rows describe published policies, not an independent security audit.
| Tool | Audio, text & processing | Training, retention & control |
|---|---|---|
| Avoma | Encrypted cloud recordings and meeting content, with workspace and CRM access to consider. Custom retention is listed on Enterprise. | Avoma states that customer data is not used to train its models. Review connected CRM permissions and organizational retention alongside that commitment.Avoma privacy source · Additional detail |
| Dictaria Our product | Guest local audio and text stay on-device. Signed-in local transcripts are saved to the account. Cloud transcription and Coach send relevant content to providers. | No general-purpose model training. Provider retention can reach 30 days for transcription and 55 days for text AI. Saved content defaults to one year, with shorter or manual retention options.Dictaria privacy source |
| Fireflies | Meeting records live in Fireflies. Its zero-retention agreements apply to processing vendors, not to your saved Fireflies library. | No internal or external AI training on meeting content. Sharing permissions and admin retention controls govern saved records; some governance features require Enterprise.Fireflies privacy source |
| Read AI | Cloud meeting reports and connected content. Report permissions determine sharing; account deletion also removes account personalization. | Meeting content is not used to train Read’s models without explicit opt-in. Its optional improvement program and account personalization have separate purposes; review both settings.Read AI privacy source |
| Sembly | Cloud meeting records can be deleted individually or through account deletion. The privacy policy also describes automatic deletion rules and backup retention. | The policy allows anonymized internal use and gives a workspace model-training opt-out. Its help center says Enterprise accounts are excluded from training. Verify the workspace setting rather than assuming an all-plan exclusion.Sembly privacy source · Additional detail |
In Dictaria, guest local transcription is temporary and has no cloud AI. Signed-in local mode saves text to your account, and Coach sends selected context to cloud AI. Follow Dictaria’s complete data flow to choose the mode that fits your meeting.
When to keep Avoma
Avoma documents CRM activity logging and field updates derived from meetings, with named CRM integrations. That is a concrete workflow to evaluate rather than a generic meeting-notes feature. Avoma documentation.
Keep Avoma in consideration if reliable CRM updates are the main reason your organization uses meeting intelligence. Confirm that any replacement can support the fields, access, and review process you depend on.
Do not buy a pipeline you will not maintain
If you work independently, start with the outputs you actually use: a follow-up email, a remembered constraint, or a question for the next conversation. If you run a sales team, start with the shared customer record. Buying around an impressive management dashboard only helps if somebody will act on it.
Where Dictaria fits
Dictaria is worth trying for a mixed week of meetings. Coach can explain a technical point, give advice, or answer a question using the current discussion and selected references. Saved transcripts and notes then provide material for later questions in Workspace Chat, without making a sales pipeline the center of the experience. See how Coach works.
Dictaria is not a deal-forecasting or CRM field-mapping replacement. If those are mandatory requirements, compare sales-oriented products first and evaluate personal meeting assistance as a separate need.
What to test before switching
Use a short, representative meeting you have permission to record. Keep the source material consistent so you can compare the work each tool helps you finish.
- Choose one sales call and one non-sales meeting. Compare how naturally each fits the proposed tool.
- For CRM workflows, inspect generated fields against the original discussion before accepting the update.
- For personal assistance, test a question that needs a reference document as well as meeting context.
Making the choice
Choose around the system of record you need. Avoma-style sales workflows deserve a CRM-specific evaluation; Dictaria belongs on the shortlist for individual guidance across a varied meeting week.
