Pricing: what would your meeting week cost?

Otter Pro’s 1,200 monthly in-app minutes cover twenty one-hour meetings, but its 90-minute meeting cap and ten monthly imports may be the tighter constraints. The annual headline is substantially below month-to-month billing. Compare Fireflies’ AI credits and Fathom’s advanced-feature limits as well as recording allowances. Teams Copilot has a separate qualifying Microsoft 365 subscription requirement.

Amounts are USD per user per month unless marked otherwise; Jamie is in EUR. Annual equivalents require an annual commitment, and unconfirmed billing terms are labeled.

Privacy: where the audio and text go

Otter’s policy describes using de-identified audio and transcripts for proprietary model training. That differs from Fireflies’ stated exclusion of both internal and external training and from Fathom’s settings-based opt-out. Microsoft’s organizational controls are another kind of offer. Dictaria excludes general-purpose training, but cloud processing still has provider retention windows; local speech recognition alone does not remove account text storage.

Bot-free capture does not guarantee local processing. Likewise, a no-training promise does not mean meeting content is never stored. These rows describe published policies, not an independent security audit.

When to keep Otter

Keep Otter in consideration if the live transcript and the way your colleagues use it already fit your meetings. Replacing a familiar shared workflow has a cost even when the new interface looks cleaner.

Compare the answer and the audience

Write down who needs the output: you, everyone on the call, or a wider team. Then separate three tests: seeing what was said, asking what it means, and passing the result to someone else. A tool can excel at one without being the best fit for the others. Include the permissions needed to revisit a conversation after the organizer has moved on.

What to test before switching

Use a short, representative meeting you have permission to record. Keep the source material consistent so you can compare the work each tool helps you finish.

1. Ask the same question while the meeting is still running. Compare relevance, readability, and what context you needed to supply.
2. Search for a disputed deadline the next morning. Verify the answer against the underlying words.
3. Check who can access the meeting, how you remove it, and whether the plan covers a normal week of calls.
